Position Overview

As a Purchasing Coordinator, you will manage the entire purchasing process from generating vendor quotes, creating estimates & PO’s, managing payments and order documentation, file management, tracking orders, filing damage and replacement claims and overseeing deliveries are made to the designated location. You’ll collaborate closely with both the design team and external vendors to ensure materials and products are ordered correctly and delivered on time and within budget for our interior design projects.

Key Responsibilities

Vendor & Purchasing Support

  • Gather vendor quotes in partnership with the design team.
  • Process trade application paperwork as needed.
  • Create Client Estimates
  • Process Purchase Orders (POs) and vendor payments.
  • Maintain vendor and order documentation in accordance with JRS ID standards.
  • Ensure smooth communication and approvals (CFA and DFA)  between designers and vendors.

Billing & Documentation

  • Prepare and submit estimates for client review and generate proposals for approval.
  • Managing Uncategorized and Open Billing Reports from our bookkeeper.
  • Dropbox Organization
  • Track all costs for accurate client invoicing and final payments.
  • Maintain accurate payment records and work closely with the accounting team.

Order & Logistics Management

  • Track and manage orders, delivery schedules, and vendor acknowledgments through highly detailed and organized spreadsheets
  • Facilitate vendor correspondence throughout production and monitor COM ETAs.
  • Oversee logistics for local and long-distance shipments.
  • Field warehouse receiving reports and handling claims for damages, repairs, or replacements.

Status Tracking & Reporting

  • Communicate order tracking and project timelines to both the design team and clients.

Qualifications

  • At least 2-4 years of experience in vendor management or purchasing (experience in furniture and interior design preferred).
  • Proficient in Mac-based software and additional programs (Dropbox, Keynote, Pages, Zoom, Loom, Designer Link).
  • Advanced Excel skills and/or Libreoffice for tracking orders, payments, and inventory.
  • Exceptional verbal and written communication and problem-solving abilities.
  • Strong organizational skills, able to manage multiple tasks and meet deadlines effectively.
  • Experience in furniture claims, warehouse management, or logistics is a plus.

Job Type: Part-Time/Full-Time
Salary: $25 – $40 per hour (based on experience)
Schedule: 25-35 hours per week
